How do I fulfil a Store sale?
Track and update the Order Status of a Store sale, product by product
Store > Sales
Every Store sale now has an Order Status, separate from its Invoice Status. Order Status tracks whether the products in the sale have been handed over to the customer — it can be updated whether the invoice is Unpaid, Pending, or Paid.
Order Status values
- Fulfilled — every product in the sale has been handed over.
- Unfulfilled — not every product has been handed over yet.
- Cancelled — the order was cancelled.
Fulfilling individual products
Open a sale to see each product line item with its own status. Set a line item to Fulfilled once you’ve handed that product over — the staff member’s name appears next to the line item to confirm who fulfilled it.
A sale’s Order Status only becomes Fulfilled once every product on it is marked Fulfilled. This lets you handle partial fulfilment — for example, if a member buys two products and one isn’t ready to hand over yet, the order stays Unfulfilled until the second product is also marked Fulfilled.
Bulk fulfilling orders
On Store > Sales, each order shows its Order Status as a pill — click the pill to mark the order Fulfilled or Unfulfilled without opening it. To update several orders at once, select them and use the bulk action to mark them all as Fulfilled.
Note: all Store sales created before this update was released were automatically marked Fulfilled.
Invoices from sent sales can’t be edited
Once the invoice for a sale has been sent, it can no longer be edited. This is separate from Order Status and applies for invoice-auditing compliance.
