How do I edit a class or session?

Editing a once-off class or session vs a recurring series, and moving a once-off with drag and drop.

How you edit depends on whether it's a once-off or part of a recurring series. Go to Scheduling >> Calendar, click the class or session, then click Actions.

Editing a once-off class or session
A once-off has a single Edit option. This opens the full edit form, so you can change any detail — name, trainer, times, capacity, location tags, packages, thresholds, description and more.

Editing a recurring series
A recurring class or session gives you two choices:

  • Edit Series — opens the full form and applies your changes to the whole series. Most changes apply to all instances (past and future); a few fields (trainer, supporting trainer, start/end time, capacity) apply from the edit date onwards and are marked that way in the form. Booked members receive an email that it was updated.
  • Edit Instance — edits just that one occurrence, but this pulls that occurrence out of the series so it becomes standalone and won't be affected by future series changes. The instance form has a reduced set of fields: name, trainer, supporting trainer, start/end time, capacity, location tags, meeting URL, description, and auto-cancellation.

⚠ Editing an instance detaches it from the series. To change every occurrence, use Edit Series instead.

Moving a class or session with drag and drop

You can move a once-off class or session by dragging it to a new time in the Day or Week view of Scheduling >> Calendar. Recurring classes and sessions can't be moved this way.

Moving it on the same day
Drop it at a new time on the same day to reschedule it. Bookings and the waiting list stay as they are, and booked members get an email that the class was updated.

Moving it to a different day
Dropping it on a different day creates a new class at that day and time and cancels the original. A Reschedule class? confirmation shows exactly what will happen:

  • Booked members are cancelled and emailed. Anyone on a limited package gets the booking credited back to it.
  • Members on the waiting list lose their place.
  • The coaches are emailed that the class is cancelled.

Click Reschedule to go ahead, or Cancel to leave the class where it is.

Note: Members aren't carried over to the new class. They need to book again, or you can book them in manually.
