How do I check a member in?
Check members in from the class, the whiteboard or in bulk, or let them check themselves in with the QR code.
Checking a member in marks their attendance for a class. There are 4 ways to do it: staff can check members in from the class, from the whiteboard or in bulk, or members can check themselves in by scanning the QR code.
When you check a member in, you mark them as attended. If a member booked but didn't come, mark them as a no-show instead. A no-show still uses the session from their package.
1. Check a member in from the class
- Go to Scheduling >> Calendar and click the class.
- The class window lists everyone who booked. In the Attendance column, click the tick icon to check a member in, or the crossed-out eye icon to mark them as a no-show.
The top of the class window shows the totals: Booked, Checked-In and No Shows. To add someone who didn't book, click Add Bookings first, then check them in.
2. Check a member in from the whiteboard
- Go to Workouts >> Whiteboard.
- Set the Date, Location, Programme and Class filters. Members booked into the class show below the workout.
- In the Attendance column, click the tick icon to check a member in, or the crossed-out eye icon to mark them as a no-show.
This is handy for coaches who run the class from the whiteboard. See How does the whiteboard work?
3. Check members in all at once (bulk check-in)
- Go to Scheduling >> Calendar and click the class.
- Tick the box next to each member you want to update. To select everyone, tick the box in the Attendee header.
- Under Bulk Actions, click Check-In to check them all in, or No Show to mark them all as no-shows.
4. Members check themselves in with the QR code
The QR code lets members check themselves in on arrival, so the coach doesn't have to do it.
To get your QR code: go to Check-In in the left-hand menu, select the correct location, then print or save the code. Display it at your entrance or wherever members gather before class. If you have more than one location, make sure each location has its own QR code.
To check in, members:
- Open the Octiv app and tap the scan to check-in button.
- Scan the QR code with their phone camera. They're checked in for their class straight away.
If the booking window is still open and the class has space, scanning the QR code books the member into the class and checks them in at the same time.
The Octiv app needs permission to use the phone's camera and calendar. Without this, the camera won't open to scan. If a member can't scan, see How do I troubleshoot QR-code check-in?
Using Octiv Access for keyless door entry? Members unlock the door with this same QR code. See Does Octiv have access control, and how do I control entry access?
