How do I credit an invoice?
Create a credit note, or void or credit an invoice, and apply credit to a member's next invoice.
You can credit a member when they're owed a refund or have overpaid. There are two ways to do it: create a credit note, or void or credit an invoice that's wrong.
Create a credit note
- Go to Accounts >> Credit Notes and click Create New.
- Choose the Location and the Member.
- Set the Due Date, enter the Amount and add a Description, for example "Overpayment on September invoice".
- Click Submit.
A credit note reduces the total outstanding balance on the member's statement.
Void or credit an invoice
- Go to Accounts >> Invoices and find the invoice.
- Tick the box next to it. You can tick more than one.
- Under Bulk Actions, click Void / Credit, then Confirm.
What happens depends on the invoice:
- The invoice has a payment on it: it's credited, and its status changes to Credited.
- The invoice has no payment on it: it's voided, and its status changes to Voided. Voided invoices don't appear on the member's statement (Accounts >> Statements).
- It's a debit order invoice: voiding it removes it from the debit batch, so the member won't be debited.
To void a single unpaid invoice, you can also click the ⋮ (Actions) menu next to it and choose Void Invoice, then click OK to confirm. See How do I cancel an invoice or issue a credit note?
Applying credit to a future invoice
Credit doesn't carry over to the member's other invoices on its own. To use it against their next invoice, edit that invoice and add a line item with the Item Type set to Discount and the credit as a negative Unit Price, for example -150. See How do I edit my invoices?
