How does the package sign-up fee work?
Charge new members a one-off joining fee, configured per package and added automatically to their first invoice.
Packages can now charge new members a one-off sign-up fee — set per package and added automatically to the member's first invoice.
Setting up a sign-up fee
Settings > Packages > Edit the package > under Package Pricing & Period, enter an amount in Sign-Up Fee (leave blank or 0 for none).
Note: This option isn't available if Is this package free? is set to Yes — a package marked as free can't also carry a sign-up fee.
Where the fee is applied automatically
When a new member signs up via the sign-up widget or purchases the package for the first time through Octiv Explore (in the app), the package's sign-up fee is added automatically to their first invoice — no extra step for the member. Depending on your facility's automatic prorate settings and when in the billing cycle they join, this lands on either the pro-rate invoice or the first full membership invoice.
Note: The sign-up fee only applies to a genuine first-time sign-up and purchase in the same flow. It does not apply when a lead converts to a member by purchasing their first package in the app, or when a member's profile was already created by staff (e.g. via Create Member) and they log in to purchase the package themselves.
Adding the fee when staff create or update a member
When creating a new member via Members > Manage > Create New, a Would you like to add the package sign-up fee to the member's first invoice? checkbox appears in the Payment step if the selected package has a Sign-Up Fee configured. The same checkbox appears when adding a package to an existing member via Members > Manage > [member] > Packages > Create New. Ticking it adds the fee to the invoice generated — either the member's first membership invoice or their pro-rate invoice, depending on your facility's prorate settings.

Supported payment methods
The sign-up fee works with debit order, card subscription, debit order subscription, and cash/EFT once a facility has migrated to the new subscription billing setup.
Note: The sign-up fee isn't available on facilities still on the older (legacy) cash billing setup.
