How do I disable or edit my Notifications?

The types of notifications Octiv sends, and how to edit, enable, disable and personalise them

Octiv sends automated emails on your behalf. There are two kinds, and it’s worth knowing the difference before you start editing.

The two kinds of automated email

  • Editable notifications — you can turn these on or off and edit their content. They live under Settings > Comms > Notifications and are the focus of this article.
  • Fixed system emails — a few essential emails (for example welcome emails and unsuccessful-payment notifications) always send and can’t be edited or switched off on their own. If you need to stop everything, use the master switch (see “Turning all emails off for a location” below).
  • Birthday, Accounts, Contracts, Schedule, Tasks, Waivers, Leads, Workouts — your everyday member and admin emails.
  • Member Journey — lifecycle emails timed after a member signs up (Immediately, 2 Weeks, 1 Month, 3 Months, 6 Months, 1 Year). These are blank templates for you to fill with your own content.
  • Discovery — the Vitality notifications, relevant only if your facility uses the Vitality / Discovery integration.

Where the editable notifications live

Settings > Comms > scroll down to the “Notifications” section

They’re grouped by type, each showing how many it contains. Use the User Type and Category filters to find one quickly. The categories are:

How to edit, enable or disable a notification

Click a category to expand it. Each notification shows a Name, a Description and a Status (Enabled or Disabled).

  • Click View/Edit on the notification to open it.
  • Switch it on or off, and edit the subject and content as you like.
  • Don’t delete the placeholders — the merge tags in the template (things like the member’s name or a date) pull in the linked data. If you remove them, that information won’t appear in the email.
  • Each notification uses the sender name and signature set for its location — see “How do I change my Logo / Signature / Reply to email / Disable or Enable Comms?” to set those.
  • Save your changes.

Notifications that are optional until you need them

A few notifications start switched off because they only apply in certain cases: the Member Journey templates (blank until you add your own content) and the Discovery notifications (only if you’re on the Vitality integration). If you want to use them, enable and edit them the same way as above — otherwise you can safely leave them off.

Turning all emails off for a location

The steps above manage notifications one at a time. To stop all automated emails from a location at once, go to Settings > Comms > Location Details > View/Edit and set Send Email Notifications to Disabled. This is also where you set the location’s Reply-To address, Sender Name, Signature and Logo. See “How do I change my Logo / Signature / Reply to email / Disable or Enable Comms?” for more.
