Does Octiv Have a Native Late Charge Feature? Octiv does not currently have a built-in automated late cancellation or no-show penalty that charges members automatically. However, there are two approaches facilities use: Option 1 — Credit Deduction 1. Set a cancellation window in your class settings (e.g. cancellations must be made at least 12 hours before class). 2. If a member cancels within the window or no-shows, manually deduct a session from their package: Members >> [Member] >> Packages >> Adjust Credits 3. Add a note to the member's profile explaining the deduction. Option 2 — Manual Invoice 1. When a no-show or late cancel occurs, create a manual invoice for the penalty amount: Members >> [Member] >> Billing >> Add Invoice 2. Set the description to "Late cancellation fee" or "No-show fee". 3. The member can pay via the app or EFT. Setting a Cancellation Window Settings >> Classes >> Cancellation Window This defines how far in advance members must cancel. Cancellations within the window can be flagged or blocked depending on your settings. ⚠ Communicate your cancellation and no-show policy clearly to members in your facility terms and conditions and in class booking confirmation emails.
