How do I create, send, and renew a member's contract?
How to create, send, bulk-send, renew and download member contracts in Octiv, and how to require members to accept one at sign-up.
Create or renew a contract
Open the member's profile and go to Contract/Waiver >> Create. The new contract becomes the active one, and any previous contract moves to inactive — so this is also how you renew an expiring contract.
Send a contract to a member
From the member's profile: Contract/Waiver >> Create New >> Submit, then click ⋮ >> Send Contract. The member receives it to review and accept.
Send contracts in bulk
Go to Members >> Manage, tick the members you want, then Bulk Action >> Send Contract. Once set up this way, the contract also applies to new sign-ups automatically.
Download a contract
Open the member's profile, go to Contract/Waiver, and click Download Contract.
Requiring acceptance at sign-up
When a member signs themselves up using the sign-up widget, you can force them to accept a contract and/or a waiver as part of that process. Turn this on under Settings >> Sign Up, in the Contracts & Waivers section:
- Does your location make use of contracts? → Yes
- Does your location make use of waivers? → Yes
Set either or both. This applies to widget sign-ups — you can't force acceptance of an updated contract before booking.
Good to know
A member's contract and waiver apply to them across all your locations.
