# Can members share a family or partner package?

## Why each person needs their own package, and how to charge a family or partner price only once

No. In Octiv, a package always belongs to **one member**, and only that member can book with it. This applies to every package, including packages your facility sells as a **partner**, **couple** or **family** package. Several people can't book from one package, even when they're linked in a [Family Account](https://knowledge.octivfitness.com/family-accounts?hsLang=en).

You can still sell one price that covers several people. Set it up as described below, so each person has their own package and only the paying member is charged.

### Why each person needs their own package

- **Booking checks the member's own packages.** When someone books a class, Octiv looks for a package on that person's profile that covers the class. A package on someone else's profile can't be used.
- **Sessions, bookings and attendance are tracked per person.** Each package counts its own sessions and keeps its own booking history, so every member's attendance and reporting stays accurate.
- **A Family Account changes who pays, not who books.** Linking members to a guardian moves their package charges to the guardian's invoice. Each dependant still books with their own package.

### What we suggest: a Family Account with special rates of 0.00

The paying member (the guardian) gets the family or partner package at its full price. Everyone else gets their own package at a special rate of 0.00. The guardian is billed once, and everyone can book.

1. Give the guardian the partner or family package at its full price, from the guardian's **Packages** tab.
2. Link each other person to the guardian as a dependant. Go to **Members \>\> Manage**, open the Actions menu (⋮) on the guardian's row and choose **Set Dependant**. To link someone who already has a profile, use **Or Find Existing Member** and click **Link Member**. To add someone new, click **Create New**. See [How do Family Accounts work?](https://knowledge.octivfitness.com/family-accounts?hsLang=en) for both options.
3. Open the dependant's profile, go to **Packages** and click **Create New**.
4. Choose the package and set the **Start Date**.
5. Under **Discount**, choose **Special rate**, tick **Override Discount Amount**, and enter **0** in **Special Rate Amount**.
6. Leave **Would you like to generate a prorated invoice for this package?** unticked, then click **Submit**.
7. Repeat steps 3 to 6 for each dependant.

On the dependant's **Packages** tab, the package now shows its original price struck through and **0.00**. The dependant can book with it as normal.

**If a dependant already has a package:** on their **Packages** tab, click **Actions** next to the package and select **Edit**. Under **Discount**, choose **Special rate**, tick **Override Discount Amount**, enter **0** and click **Submit**. For more on special rates, see [How do discounts and special rates work on packages?](https://knowledge.octivfitness.com/how-do-discounts-and-special-rates-work-on-packages?hsLang=en)

### Check what the guardian is billed

Open the guardian's profile and click **View Statement**, or click **View Guardian Statement** on any dependant's profile. When the next invoice is generated, the amount should only include the full-price family or partner package. The dependants' 0.00 packages add nothing to it.

### Why did a dependant's payment type change to Debit Order?

When you link a member to a guardian, the dependant's billing follows the guardian's. Their **Billing** tab mirrors the guardian's payment method and debit date. If the guardian pays by debit order, the dependant shows **Debit Order** and the guardian's bank details. This is expected. The dependant isn't debited separately, because their package charges are added to the guardian's invoice.

### Why was the guardian charged for a package twice?

Each dependant's package is billed to the guardian at the package's price. If two partners each have a full-price partner package, the guardian is billed for both. To charge only once, keep the full price on the guardian's package and put each dependant's package on a special rate of 0.00, as shown above.

If an invoice has already been raised with the extra charge, see [How do I cancel an invoice or issue a credit note?](https://knowledge.octivfitness.com/how-do-i-cancel-an-invoice-or-issue-a-credit-note?hsLang=en)

### Moving from an older family setup

Before Family Accounts, some facilities billed a family by raising the paying member's price with a special rate that covered everyone, and set the other family members to **No Payment**. To move a family like this to a Family Account:

1. Link each family member to the paying member as a dependant.
2. Give each dependant their own package at a special rate of 0.00, as shown above.
3. Check the guardian's package and set it back to the family or partner price. Remove any special rate that was adding the other members' fees.

### Invoices that were already generated

Changes to links, packages and special rates apply to invoices generated after you make them. An invoice that was already generated, or already added to a debit batch, isn't recalculated. Removing a package doesn't change it either. Check the guardian's next invoice before you submit a batch. If it includes the wrong amount, cancel it or issue a credit note, as described in [How do I cancel an invoice or issue a credit note?](https://knowledge.octivfitness.com/how-do-i-cancel-an-invoice-or-issue-a-credit-note?hsLang=en)

### Keeping track of larger families

- In **Members \>\> Manage**, a label under each member's name shows **Guardian of \[number\]** or **Dependant of \[name\]**. This helps when family members have different surnames.
- The **My Family** section on the guardian's profile lists every dependant with their age and login type.
- Children without their own email address can be set up as **login-less** dependants. Their notifications go to the guardian, and the guardian books for them from their own app. See [How do I create an Octiv profile for a child?](https://knowledge.octivfitness.com/how-do-i-create-an-octiv-profile-for-a-child?hsLang=en)

### Good to know

- **Each package stands on its own.** If the guardian's family or partner package ends or changes, update each dependant's 0.00 package too.
- **Session packs aren't pooled.** A 10-class pack on the guardian's profile can't be used by the rest of the family. Give each person their own package.
